I published a piece this week walking through how a single Teams meeting can become a live SharePoint system β€” agents, AI summaries, the lot. It's the most concrete "AI is actually here" example I've had to share.

But the reason that demo worked isn't the AI. It's that the underlying SharePoint was clean β€” structured properly, and crucially, permissioned properly. Which got me thinking about the question most teams aren't asking out loud yet.

This Week's Question

"We've cleaned up our content and added metadata. Are we actually Copilot-ready, or is something missing?"

β€” A question I've heard four different ways this month

The Short Answer

Something is almost always missing. And it's usually permissions.

Cleanup and metadata get all the airtime in Copilot conversations because they're the visible work β€” the work you can show a leadership team in a slide. Permissions are the invisible work. They're what determines, the second Copilot is switched on, whether it surfaces the right things to the right people or quietly serves up the salary review spreadsheet to someone in marketing.

Here's something concrete you can do this week. I call it a Permission Reality Check, and you only need to do it on your top five sites β€” the ones with the most content, the most users, or the most sensitive material.

For each site, check:

1.   Unique permissions β€” anywhere inheritance has been broken

2.   Inactive owners β€” anyone who's left, changed roles, or hasn't logged in for months

3.   External sharing β€” old guest links you'd forgotten about

4.   Oversized member groups β€” sites where "everyone" somehow ended up with access

5.   Legacy folders with broken inheritance β€” usually from migrations, often from years ago

Five sites, five checks. You can run it in an afternoon and you'll have a startlingly clear picture of whether your environment is actually Copilot-safe β€” or whether you've cleaned the kitchen and left the back door open.

The Takeaway

AI readiness isn't just metadata and structure. It's knowing the right people can access the right content.
